Description:

• This position provides senior level administrative support to the Chief Financial Officer (CFO), and the Vice President (VP), Legal.
• The Executive Assistant will be entrusted with time sensitive and highly confidential information and be required to manage numerous competing tasks.
• This position also acts as the bilingual liaison for customer complaints and inquiries, as well manages the process for customer's placing LCBO private order for Pernod Ricard and Corby brands within Canada.


Responsibilities (include, but are not limited to):

Provide administrative support to the CFO and VP, Legal on a daily basis including:

• Prepare letters, memos and correspondence including department e-mails on behalf of CFO/VP Legal.
• Transcribe dictated information.
• Review, calculate, and code invoices and obtain appropriate approvals prior to submitting to A/P.
• Open and organize in-coming mail and coordinate out-going mail/courier items.
• Perform filing, faxing, data entry, and adhoc administrative duties as required.
• Coordinate and maintain calendars, manage appointments, book/arrange meetings including any travel arrangements.
• Manage and reconcile expenses for CFO/VP, Legal, including the preparation and submission of expense reports.
• Manage incoming department telephone calls, taking precise messages, providing accurate information, returning calls in a prompt manner and re-directing where necessary.
• Assist the CFO and/or VP, Legal with the preparation of business presentations including the management and distribution of materials.
• Coordinate any necessary travel and meeting arrangements for members of the Board of Directors, Executive Committee, and both internal and external Stakeholders including: booking accommodations, organizing and maintaining agendas, catering/reservations, and transportation.
• Plan, organize and coordinate all meetings, functions, and events for Finance/Legal departments, managing all logistics and details both on and off-site, and assist arrangements for company meetings, and functions as required.
• First line contact for all customer complaints and inquiries, recording all relevant information, assessing urgency and delegating/escalating issues as needed Facilitate LCBO Private Ordering for customers liaising with PR Brand owners, suppliers and supply chain team.
• Other duties, as required.


Qualifications:

• Minimum of 5 years working experience in an Executive Assistant or Senior Administrator position within a fast paced corporate environment (similar industry experience an asset).
• University degree (Business Administration preferred).
• Excellent communication skills - written and verbal in English and French.
• Strong time management and organization skills with attention to detail and accuracy.
• Advanced skills in MS Office (Word, Excel, PowerPoint).
• Ability to prioritize various assignments and multitask.
• Excellent relationship building and interpersonal skills.
• Flexible thinking and creative problem solving skills.
• Demonstrate initiative, self-motivation and resourcefulness.
• Experience in reviewing and preparing legal documentation is an asset.
• Bilingual in English and French an asset.
